Show Floor Safety

Show floor safety is everyone’s responsibility. All participants at Artist Project must comply with the legislation contained in the Occupational Health and Safety Act and its regulations, which is governed by the Ontario Ministry of Labour.

All booth personnel involved with the move in and/or move out process (ie. material handling, erecting/dismantling exhibits, etc.) must wear personal protective equipment wherever exposure to head or foot injury is possible. For example, proper footwear must be worn during both move in and move out. (ie. open-toed sandals or high heeled shoes are NOT appropriate footwear).

No children aged 15 and under are allowed on the show floor during move in. During move in and move out, the show floor can be a very dangerous area with vehicles and forklifts moving through the aisles, not to mention the possible trip hazards like nails, and other debris. We must abide by the Occupational Health and Safety Act, which stipulates that absolutely no children aged 15 or under be allowed onto the show floor during these times. Please make the necessary child care arrangements.

In order to ensure that everyone understands the importance of this policy, all exhibitors are required to fill out and submit the Health & Safety Declaration Form linked below.

Fireproofing

All display materials (excluding artwork) such as fabric etc. must be fireproofed or made of a fire retardant material. Styrofoam and foam core are absolutely forbidden.

In accordance with the Occupational Health & Safety Act and its applicable regulations, fireproofing cannot take place on the show floor during move in. Please make arrangements to have any drapes, carpeting, etc. treated ahead of time. We recommend the following company:

Onsite Security

Artist Project is staffed during the day in the exhibit hall from move in through move out and building security is in place overnight. In addition to this protection, we strongly suggest that you take the following precautions:

  • Wear your badge during move in and move out to help identify anyone who does not belong in the building
  • Do not leave your keys or valuables (such as purses, cash boxes, or artwork) in your vehicle at any time
  • During show hours, keep your personal items such as purses and briefcases locked up and out of sight from the public. They should not be left behind walls or underneath tables since this is the first place that is targeted. The safest option is to keep your cash and credit card receipts in a money belt or pouch that you wear
  • Do not leave any cash or credit card slips in your booth overnight, please take them with you
  • Make daily bank deposits
  • Report suspicious behaviour to the Information Desk immediately
  • Do not leave your booth unattended, not even for a second during show hours. At show closing, do not leave immediately – please wait until the public clears the floor
  • Ensure yourself for the duration of the show for protection from things like theft, damage, bodily injury, and other hazards
  • Walk to and from the Better Living Centre with someone, especially if carrying large sums of money. Upon request, Exhibition Place Security Services will provide a security escort to anyone who does not feel comfortable walking to their mode of transportation. Make arrangements by calling Exhibition Place Security Services at 416-263-3333. Please be sure to schedule your security escort early in the day
  • Authorize each credit card purchase while the customer is in your booth to avoid dealing with declined authorizations
  • The art storage area has monitored and limited access before, during and after show hours. You must check in with the attendant to have access to your storage spot

Liability Insurance

The exhibitor must purchase and keep in effect during the period when its property is in the exhibition hall and in transit to and from the Better Living Centre (the Building), insurance against loss, damage, or destruction to such property, however caused, for the full value of such property, and to cause the insurer to waiver subrogation against the Show Management. Exhibitor is responsible for insurance coverage related to participation in the Show. Each Exhibitor and each of Exhibitor’s appointed contractors is required to carry $5,000,000 commercial general liability for bodily injury and/or property damage in any one occurrence, such coverage shall specifically

(i) provide that Informa Canada Inc. and the Better Living Centre, Exhibition Place, are listed as additional insureds on the policy,

(ii) include a cross liability clause, and

(iii) provide that such policy shall not be cancelled or materially altered prior to termination of this Exhibitor Agreement.

Exhibitors who do not have insurance may purchase temporary coverage for the duration of the show from Exhibitor Insurance.

Fraud Alert & Cybersecurity

Important Notice: Beware of Fraudulent Emails and Scams

As an Artist Project exhibitor, you may receive spam emails from third parties falsely claiming to be affiliated with the fair. A common example is the attendee list scam, where companies offer to sell VIP, exhibitor, or visitor lists. These are fraudulent—Artist Project would never sell or share attendee data.

Be Cautious of Unauthorized Communications

• Suspicious emails: Be wary of unexpected or unusual emails related to Artist Project.
• Unsolicited texts: Exercise caution with text messages from unknown sources claiming association with the event.
• Unexpected phone calls: Be alert to calls from unfamiliar individuals purporting to represent Artist Project.

Beware of Fraudulent Offers

We do not endorse or authorize:

• External coaching services (unless offered directly through Artist Project).
• Paid curation assistance provided by people outside of the Artist Project team.
• Unsolicited offers selling client or visitor lists (see details below).

Our Commitment to Your Privacy

Artist Project is organized on behalf of Informa plc, and we adhere to strict data protection policies:

• We do not share your information without your express consent.
• Your data is never sold or exchanged with external organizations.

Verify Authenticity

If you’re contacted by anyone claiming to be from Informa/Artist Project and are unsure of their legitimacy:

• Do not provide any personal or sensitive information.
• Contact us immediately for verification.

Attendee List Scam

The most common scam involves vendors offering audience, VIP, or exhibitor lists for sale.

If you receive an email offering this service:
• Do not engage with the sender.
• Use your email browser to report the message as spam.
Block the sender and delete the email.

Hotel Room Scam

We are aware of a scam that that is offering deals on hotel rooms.

Our only preferred hotel partner is the Hyatt Regency, full details can be found here.
